Executive Assistant/Project Coordinator

Office of Information Technology

The Executive Assistant/Project Coordinator provides high level support to the Office of Information Technology (OIT) multiple Senior Director(s) and their team members. The incumbent will have sufficient understanding of the department’s initiatives and constituencies to anticipate the impact of various types of communications, recommendations, and/or proposed actions. The incumbent will initiate the appropriate action to achieve operational effectiveness. This position will manage projects between the Senior Directors and their teams within OIT in addition to other Administrators/offices of the university as well as external contacts.

The Executive Assistant/Project Coordinator will take the lead in researching, analyzing and preparing project documents that contribute to effective planning and decision making. The Executive Assistant/Project Coordinator will be expected to use independent judgment in setting priorities and determining which matters require attention. Requires high levels of discretion in handling confidential situations. Cultivates and maintains strong relationships with University Administrative Offices, Academic Departments and external constituencies as appropriate. Plans conferences, both internal and external to the University. Participates in meetings. Manages calendars using judgment in setting priorities and scheduling appointments and manages travel arrangements. This position has an in-depth understanding of the department issues and how they support the university’s mission.

Job Qualifications

  • Bachelor’s preferred

  • 3-5 years of previous experience in a similar position providing high level Executive Assistant office support.

  • Requires excellent written and verbal skills along with strong interpersonal skills. The ability to elicit and communicate information and to prepare clear, informative, and concise materials.

  • Experience managing projects preferred.

  • Ability to analyze and summarize information.

  • Experience working with sensitive and confidential information.

  • Strong organizational, administrative and time management skills. Initiative and judgment to independently problem solve and prioritize.

  • The ability to independently develop and implement short and long term goals.

  • The ability to work independently, but also as a strong team member along with the ability to work effectively with a diverse population.

  • Ability to multitask in a fast paced environment.

  • Excellent computer skills along with a proficiency in the majority of the following applications: Google suite, Microsoft Word, Advanced Excel (ability to work with complex formulas), PowerPoint

  • Prior experience taking complex, detailed meeting minutes is a plus.

  • Experience in a university setting is preferred.

  • Demonstrated ability to support a community of diverse perspectives and cultures in an inclusive environment.

Successful completion of a criminal background check and education verification is required.
