Description of Work Unit

The Chemical and Biological Engineering program at CSU has had a record of very high-quality education and research since its inception in 1977. There are currently 400 undergraduate and 25 full time graduate students in the program, 14 tenure-track faculty, and two full time non-tenure track faculty. All of the tenure-track faculty members hold at least one joint appointment in departments or schools inside and outside the college, and in that capacity, advise an additional 30 PhD students in chemistry, cell and molecular biology, biochemistry, biomedical engineering, molecular, cellular, and integrative neuroscience, and materials science and engineering. The Department has integrated both chemical and biological sciences into our undergraduate curriculum and offers one of the only ABET -accredited Chemical and Biological Engineering BS degrees in the country. Our faculty are engaged in exciting research work, with emphases on bioenergy, biochemical and biomedical engineering, experimental and computational systems biology, synthetic biology and metabolic engineering, bioanalytical devices and microfluidics, polymer science, and biomaterials. The Department of Chemical and Biological Engineering offers a curriculum based in math, science, and engineering to give our graduates a well-rounded education with a depth of knowledge that prepares them for the many different engineering opportunities available on graduation. Our graduates go on to work in biotechnology, biomedical, microelectronics, environmental consulting, petroleum, chemical, food, pharmaceutical and other private sector industries and with government agencies.

Position Summary

The individual in this position will report to the Department Head of the Department of Chemical and Biological Engineering ( CBE ) in the Walter Scott, Jr. College of Engineering ( WSCOE ) and support the educational mission of the CBE Department. This position will primarily focus on managing the department’s graduate programs (ME, MS, PSM , PhD) at 0.6 FTE and will also involve some department administrative duties at 0.4 FTE .

Graduate Coordinator (0.6 FTE )The Graduate Coordinator position in Chemical and Biological Engineering is a 12-month, full time Administrative Professional position. This position plays a critical role in departmental efforts to provide quality graduate programs and exceptional advising. This coordinator must have a strong dedication to the department and its students, and demonstrate the ability to think creatively, analytically, and strategically to create programs and systems, to solve problems independently and creatively and effectively supervise operations of the graduate program.

This coordinator will oversee the application and admissions process for the graduate programs, and provide data and analyses to determine the annual admissions goals of the department. This position provides credential evaluations and degree audits of graduate applicants verifying accuracy and completeness of credentials, with respect to admission decisions for graduate programs. This individual will review graduate applications and facilitate admissions decisions; monitor the applicant database; and resolve issues or problems. Experience with up-to-date database records and correspondence are a requirement of the position.

This position will be responsible to research and summarize data for reports and periodic reviews regarding prospective, admitted, and matriculating students to maximize effectiveness of recruiting efforts, and maintain records and historical data for easy retrieval. The successful candidate will need to interpret requests for information and answer inquiries or direct appropriately, determine the urgency of communication, and initiate and compose appropriate correspondence. They will have a strong dedication to students and demonstrate the ability to think creatively, analytically, and strategically. The successful candidate will have the ability to work independently, exercise discretion in interpreting and applying policies and procedures, and have the capacity to coordinate multiple priorities effectively and efficiently. The ideal candidate will be a highly organized, motivated, and confident individual who has excellent written and oral communication skills. The successful candidate will have demonstrated experience working with confidential information and diverse populations.

Some weekend and evening work will be required.

Department Administration (0.4 FTE )The duties associated with department administration focus on effective and efficient running of department operations. These responsibilities include coordinating the seminar series each semester; managing the AIChE students organization budget, and acting as an unofficial advisor to the AIChE student chapter; supporting senior design teams by placing orders for materials, and managing each group’s budget – see below. Effective event planning for the department may include the senior design reception, graduate applicant visit day, new graduate student welcome, and assisting with conferences. This position arranges catering, books rooms, and ensures events stay within budget.

  • Bachelor’s degree in Counseling, Student Affairs, Education, STEM , or related field

  • One (1) year of experience working in a student services environment

  • Experience advising, counseling, and/or guiding student development

  • Demonstrated ability to do detailed work, to coordinate multiple projects and administrative tasks effectively and efficiently, and to meet deadlines in a fast-paced work environment

  • Demonstrated ability to rapidly learn new systems and policies and recognize and communicate the impact of changes.

  • Proficient in standard office word processing, spreadsheet, and presentation software

Preferred Job Qualifications

  • Experience advising, counseling, and/or providing support to students in STEM discipline(s)

  • Demonstrated experience working with confidential information and knowledge of FERPA and other relevant laws regarding student records

  • Understand and communicate curricula to prospective and enrolled students in graduate certificate programs and the following advanced degree programs: Master of Engineering, Master of Engineering online, Master of Science, Professional Science Master’s, and PhD.

  • Work with the department head and Graduate Affairs Committee chair to create and execute successful recruiting strategies and retain students in the graduate program

  • Guide graduate students, residential and online, through their graduate program from recruitment to graduation

  • Convey accurate and current graduate program information to future students

  • Manage and maintain all graduate student records and files and communicate with the graduate school, registrar, and admissions critical graduate student information

  • Write GRA / GTA contracts, submit GRA / GTA appointments and reappointments to the Engineering Payroll Office; Ensure GRA / GTA student tuition is paid accordingly and on correct account via Sponsored Invoice.(work with faculty for this information)

  • Provide students with campus resources and with available resources within the community

  • Manage the compilation of enrollment and program data for various constituents

  • Recruit prospective students to the CBE and PSM programs and connect them with faculty. This includes traveling to various regional institutions and attending events and conferences for recruiting purposes

  • Manage and execute two-day graduate recruiting event, Graduate Interview Days

  • Manage and execute all graduate program events including new student orientations and graduate student feedback meetings

  • Manage scholarship opportunities and awards process for Graduate Scholarships

  • Maintain communication with program alumni

  • Serve on school, college, and university committees as needed

Duty/Responsibility

  • Greet and direct visitors; answer telephone, address inquiries for information including referring students, clientele and others to appropriate source for problem resolution within the department. Mail service for the department, including all packages delivered to the department, email daily with orders received.

  • Provide support to faculty, staff and students with Seminar Series speakers each semester, compiling and organizing the events to attend.

  • Complete required travel authorizations and reimbursements for department visitors.

  • Generate financial document for Internal Orders, Disbursement Vouchers and Purchase Requests in Kuali. Compile and submit documents to Business Office for reimbursements.

  • Supervise student employees hired to assist with general administrative and office management tasks. Recruit, hire and train student employees. Regularly assess performance to ensure timeliness, correctness and soundness of deliverables. Modify schedules and work plans to adjust for unforeseen situations.

  • Develop and maintain procedures manual for the position and program.

  • Administer the main fundraising operation for AIChE Student Organization

  • Per University regulations, arrange all travel and post travel reimbursements for AIChE Student Officers to AIChE Student Conference
